CSWDC Migrates to SharePoint Online with PSP’s Expertise
Client Overview
Coventry and Solihull Waste Disposal Company (CSWDC) is a leading provider of sustainable waste management solutions, serving the local community and contributing to environmental sustainability. With the growing need for efficient collaboration and document management, CSWDC approached us to upgrade their existing SharePoint system to SharePoint Online. The move to a cloud-based platform would enhance their ability to collaborate, increase accessibility and improve operational efficiency. To ensure the project’s success, we assigned one of PSP’s experienced IT Project Managers to lead the initiative.
Challenge
CSWDC had an existing SharePoint system, which was implemented by PSP's development team around ten or so years prior. The SharePoint system used was the 2013 edition, which was stored on-premises.
The system consisted of a Homepage, which could be accessed by users and provided bitesize information and links to destinations around the site. The nature of CSWDC’s business, records need to be kept of audits, incidents, waste amounts and much more. This information was kept in separate lists and libraries, located around the site.
CSWDC needed a smooth data migration process with minimal disruption to daily operations and the upgraded system had to meet their specific requirements for document management and team collaboration.
Solution
Using a Microsoft migration tool, PSP were able to migrate every list and library individually, before making migration checks. We wanted to be sure that modification dates and version history of individual documents aligned between new and old, so that there was no data loss for the client. Checks went right down to ensuring that the views between libraries matched old to new.
As well as using the automated Microsoft tool, we also migrated certain lists and libraries manually, which are used and updated by CSWDC daily. Regularly updated lists and libraries are very large and were too large for the automated tool. As a result, we made manual migrations of data within these regularly used lists and libraries.
CSWDC wanted there to be little in the way of change to the users with minimum changes to the homepage. We bought over the custom Tab Items area, which provides users with an easy way of navigating around the site.
Web parts were redeveloped to ensure CSWDC still had the same functionality as today. As well as implementing existing functionality from the old site, PSP also added a countdown time, which can be used as a way of counting down towards an event for CSWDC. This is part of the standard functionality, which is found on the latest version of SharePoint.
Results
The SharePoint upgrade was successfully completed, providing CSWDC with a modern, cloud-based platform that enhanced their document management and collaboration capabilities.
The upgraded SharePoint system improved accessibility for CSWDC’s staff, enabling them to collaborate more effectively across departments and locations. The cloud-based platform also provided increased flexibility, allowing CSWDC to scale their document management and collaboration tools as needed.
